SentryReg is provided by 16Wells LLC (“16Wells,” “we,” “us”). This policy explains what information we collect when you use sentryreg.com and the SentryReg service, how we use it, who we share it with, and the choices you have. Our Terms of Service also apply.

1. Information we collect

• Account information: your name, work email address and sign-in credentials. If you sign in with Google or Microsoft, we receive your name and email address from that provider. We use it only to create and secure your account.
• Firm information:your firm's name, its members and their roles, and settings your firm chooses.
• Submitted material: the marketing content and files you submit for review, calibration documents your firm uploads (such as written supervisory procedures), and the review results, comments and PDF reports generated from them.
• Workflow records: who submitted, reviewed and approved material, with timestamps and IP addresses, and a record of each acceptance of our Terms.
• Billing information: payments are handled by Stripe. We do not receive or store your full card number; we keep Stripe customer and subscription identifiers and your plan and usage.
• Usage and device data: IP address, browser type, pages visited and similar technical data, collected through cookies and analytics tools on our website.
• Communications: messages you send us, and your email address if you try the demo, start a trial or ask to hear from us.

2. How we use information

• To provide, secure and support the service, including running AI-assisted pre-screens of the material you submit.
• To process payments, manage subscriptions and send service messages such as review results and billing notices.
• To keep records that support your firm's regulatory recordkeeping obligations.
• To understand how the site is used and improve it, and to send product updates or offers you can opt out of.
• To detect abuse, comply with the law and enforce our Terms.

We do not sell your information. We do not use your submitted material to train AI models, and we treat it as confidential.

3. Who we share it with

We use service providers who process information on our behalf, under terms that limit how they may use it:

• Clerk: sign-in and account management.
• Stripe: payment processing.
• Vercel: website hosting.
• Neon: database hosting.
• Cloudflare: file storage.
• Anthropic: AI processing of submitted material to produce the pre-screen.
• Inngest: background job processing.
• Resend: transactional email.
• ActiveCampaign: email marketing and customer communications.
• Google: website analytics and tag management.
• Slack: only if your firm connects Slack notifications.

We may also disclose information to comply with law or legal process, to protect rights and safety, or as part of a merger, acquisition or sale of the business. Within your firm, other members with the appropriate role can see the material and results your firm creates.

4. Google user data

If you choose Google sign-in, SentryReg receives only your basic profile (name and email address). We use it solely to authenticate you and manage your account. We do not sell it, use it for advertising, or transfer it except to the providers listed above as needed to operate the service. SentryReg's use of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.

5. How long we keep information

• Submitted material and review results: retained for 12 months to support your firm's recordkeeping, then deleted unless your firm has arranged otherwise.
• Workflow and audit records: retained for at least 3 years.
• Records of Terms acceptance: retained permanently.
• Account and billing records: for as long as your account is active and as needed for tax, accounting and legal purposes.

6. Security

We use encryption in transit, access controls and reputable infrastructure providers to protect information. No system is perfectly secure, so we cannot guarantee absolute security. Tell us promptly at the address below if you believe your account has been compromised.

7. Your choices

You can ask us to access, correct or delete your personal information, or to stop marketing emails, by writing to us. Some records must be kept for legal and recordkeeping reasons, as described above. Firm administrators control which members have access to your firm's account. You can opt out of marketing emails at any time using the link in each message. Depending on where you live, you may have additional rights under local law.

8. Cookies

We use cookies that keep you signed in and secure your session, and analytics cookies that help us understand site usage. You can control cookies in your browser settings; blocking essential cookies may stop sign-in from working.

9. Children

SentryReg is for businesses and is not directed to anyone under 18. We do not knowingly collect information from children.

10. Changes to this policy

We may update this policy. We will post the new version here with a new date, and tell you about material changes.
